Student Records and Privacy

Creation, access, correction, disclosure, retention and security of academic records.

Official institutional policy

01

Authoritative records

The University maintains the minimum reliable records needed to administer applications, enrollment, learning, assessment, services and credentials. Access is based on role and legitimate institutional need. Users must use their own account, protect credentials and report suspected unauthorized access promptly.

02

Access, correction and disclosure

A student may request access to their record and correction of factually inaccurate personal information through Student Services or privacy@pontifical.us. Academic judgments are challenged through the relevant academic process rather than rewritten as a privacy correction. Records are disclosed with consent, to authorized service providers under appropriate controls, or when law or a valid legal process requires it.

FERPA applies to institutions that receive funds under programs administered by the U.S. Department of Education. PCU-USA follows confidentiality, access and correction safeguards for student records as an institutional standard; a statement that FERPA legally applies will be made only if the statutory funding condition is met.

03

Retention and verification

Core academic results, conferrals and credential audit data are retained as permanent institutional records. Operational records are retained according to documented need, legal obligations and security considerations, then securely deleted or anonymized. Public credential verification is limited to validation data and does not expose a full student record.
